Contract Specialist I
About the Role:
Join our multi-cultural team as a Contract Specialist I, supporting the EMEA region. You will coordinate and manage processes related to tender submissions, approvals, and documentation, working closely with Account Managers.
Key Responsibilities:
- Support EMEA Account Managers and Service Managers with CRM activities, tender reviews, approvals, and documentation.
- Maintain and update standard operating procedures with Global Process Managers.
- Develop work instructions, train team members, and support onboarding.
- Propose and drive improvements through projects and quick wins.
- Mentor team members to ensure their growth and success.
- Serve as a backup for daily operations and processes.
Daily Activities:
- Review and submit tenders and RFQs, follow up on approvals, and ensure CRM records are complete.
- Evaluate bid documents, resolve terms needing approval, and coordinate with functional owners.
- Review and draft sales-related documents for compliance with corporate policies.
- Lead meetings with Account and Service Managers for timely submissions.
- Handle supplier registration, public contract administration, and compliance.
- Request and manage bank guarantees and bid bonds.
- Support master agreements and non-disclosure agreements, coordinating with Legal and Business units.
- Renew standard documentation and maintain centralized contract files and databases.
- Manage processes with various partners across the organization.
Required Knowledge, Skills, and Abilities:
- Understand legal, financial, regulatory, and business risks in sales orders and contracts.
- Familiar with pricing, delivery, Incoterms, warranty, and payment terms.
- Balance business needs with potential risks and customer requests.
- Maintain high integrity, intensity, innovation, and involvement.
- Show dedication to meeting performance goals.
Job Requirements:
- Professional education MBO+, preferably a Bachelor's degree with experience in sales support, service, order fulfillment, or business administration.
- Proficient/native in German and English.
- Proficient in Office packages (Outlook, Excel, Word, PowerPoint).
- Ability to work independently and as part of a team, with a collaborative approach to achieving goals.
- Excellent verbal and written communication skills.
