THE OPPORTUNITY

As the regional Assistant (MIDI), you will provide essential secretarial, organizational, and project-based support to the MIDI management and business teams. In this highly collaborative role, you will ensure the smooth coordination of daily operations by organizing on-site and virtual meetings, managing contract routing and follow-up processes, and serving as the first point of contact for budget-related topics.

Also, you will support the team with a wide range of administrative tasks, proactively managing timelines, milestones, and deliverables to keep projects on track. Your structured approach, attention to detail, and ability to work independently will enable the broader MIDI organization to operate efficiently and focus on strategic priorities.

This position is based in Amsterdam and reports directly to the Country Managing Director (CMD) MIDI.

YOUR KEY RESPONSIBILITIES

  • Complex calendar management with own decision-making competence.
  • Travel management – booking business trips & contributing to the planning and monitoring of various budgets (i.e. personnel, travel) and its controlling.
  • Ensuring the flow of targeted communication on mostly organizational, administrative & personal matters (i.e. create & send newsletters/announcements).
  • Support onboarding of new colleagues in MIDI (e.g. prepare and execute on the onboarding checklist and schedule get-to-know meetings).
  • Ordering of materials & (work) equipment as well as shipping of documents and materials in compliance with regulatory requirements.
  • Organization/ facilitation of (complex) meetings, including content management (internal, local BI participants), taking care of agenda, hotel booking, logistics, dinner, flight transfers, request quotations, in case of F2F events hands on work to prepare location/welcome colleagues etc. 
  • Support handling of remote meetings via MS teams using chat rooms, whiteboard, including minute taking for important meetings.
  • Create POs (via WeBuy), create vendors (via MDM), following up on Open PO’s numbers with budget responsible, in particular supporting invoicing process, managing access rights, archiving etc. for the functions.
  • Maintain overviews of budget status, including securing BI accrual concept/ Year-End Provisions for DP and DSS by (planned and actual spend, and effectively communicating about these topics to the relevant business partners).
  • Take action proactively based on an understanding of Boehringer Ingelheims’ business strategy and MIDI objectives.
  • Coordination/facilitation of assistant team efforts in the Amsterdam office.

 

WHAT YOU SHOULD BRING TO THE TEAM

  • Bachelor’s Degree in Business Administration or similar working experience.
  • Minimum 5 years of experience in an assistant role or similar (e.g., organizing events, coordinate projects between multiple parties, experience on financial tasks, etc.), preferably in an international environment.
  • Experience with calendar support, scheduling meetings and organizing travel.
  • Strong project & event management skills.
  • Process orientation and digital savvy – proficiency with MS Office applications & online collaboration tools.
  • Demonstrates proactive anticipation of needs, providing the right information, tools, or support before being asked — acting as a strategic partner rather than a purely transactional assistant.
  • Ability to adequately prioritize tasks and activities in a flexible and agile manner.
  • Strong communication skills and ability to collaborate effectively and communicate confidently with people at all levels both within and outside the company.
  • Capability to work in a cross-functional setting and international environment.
  • Service oriented mindset: helping and supporting colleagues is a big part of this role. With your positive and warm mindset, you create a good spirit around the office.
  • Fluency in the English language is required.
