The Management Liaison (ML) Campus Netherlands supports the External Affairs Campus J&J NL Team and the Head EA Campus in particular, by autonomously coordinating and leading projects, leading the budget process and offering executive support by preparing work for the Head EA Campus. For the role of the Head EA Campus as chairman of the GM Board J&J Netherlands, the ML Campus Netherlands prepares the regular meetings, ensures to have preparatory work ready in time and makes sure to follow-up on agreed upon actions. In order to do so, the ML Campus Netherlands proactively anticipates the needs and is aware of key business priorities at all times.
This position supplies to completing the requested deliverables on time, and is accountable for leading and coordinating centralized business operations activities. The position is the link between the Campus J&J NL and internal collaborators to help guide and coordinate prioritised projects, which requires thorough knowledge of the Campus (structure, culture, and legislation).
The following elements are part of the function.
Executive Assistant to the Head Campus J&J NL as Chairman of the GM Board Netherlands:
Responsible for coordinating, preparing and organizing meetings on topics prioritized by the senior management of the multiple NL J&J entities.
Time consumption: 20%, fairly constant throughout the year.
- Take ownership in a pro-active coordination of the agenda (bring together topics, flow, solicitate presenters, priority setting, allocate time) and on collaborating with the presenters on the content of their presentations. Follow-up on actions from previous meetings and anticipate on future projects and topics of interest, based on information gathered from collaborators.
- Prepare the legally required slide deck supporting the GM Board, review, and give feedback on the content of slides to the presenters.
- Support the chair in leading the meeting, take ownership in the legally required minute-taking and listing all actions during the meeting.
- Align with the chair on the optimal content of meetings, given the prioritization of topics, in view of what needs to be discussed by when with the Central Works Council J&J Netherlands.
- Discuss the listed actions with owners and relevant collaborators in order to drive completion and ability to feedback results or information to the GM Board.
- Coordinate formal GM voting requests. Initiate the request, follow up on the result and confer to the GM Board and ensure communication is prepared and distributed as needed.
- Preserve a platform (SharePoint) to store all information, maintain the information and handle accessibility of the platform.
Own the budget process for EA Campus J&J NL:
The ML is a crucial link between Campus budget owners and the finance department to efficiently drive the Campus NL budget and prioritization of projects based on the Campus programs and in line with the Campus strategy, mission, and vision.
Time consumption: 30%, with significant peak times up to 65% time consumption at predictable moments in the year.
- Take ownership in pro-active regular follow-up discussions on the Campus budget in close involvement with finance JBS NL.
- Align, advice and support the budget owners on OPEX quarterly estimation input, YTD or equivalent experience status and YE closure procedure.
- Regular contact with finance on the budget monitoring and status, quarterly - and year-end closure.
- Lead the Campus team through the Business Plan (BP) process, June Update and November Update in close involvement with JBS. Provide guidelines to budget owners, organize BP preparation meetings and review meetings with management. Discuss with budget owners and challenge in view of the Campus strategy.
- Consolidate the data from the budget owners and make suggestions to the Campus Head on prioritization of projects, budget and resources.
Executive support for the Campus Head:
Time consumption: 30%, fairly constant throughout the year.
- Handles a sophisticated calendar requiring interaction with both internal and external partners. Recognizes/communicates priorities and provides solutions. Anticipates and proactively prevents issues to ensure maximum effective time use.
- Make and coordinate travel arrangements.
- Prepare expense notes for submission, anticipate necessary input and check on compliance.
- Handle ad hoc requests.
- Coordinate events with internal collaborators and external collaborators.
- Contract review.
- Be an active member of the External Affairs Campus team by providing guidance, support and mentorship to other members in the team, including sharing of standard processes, harmonization of support.
- Identify and implement process improvements for administrative processes.
Project Management:
Time consumption: 15%, fairly constant throughout the year.
-- External Affairs Campus Team meetings:
- Responsible for coordination, preparation, follow-up and logistical organization of meetings with EA Campus team members.
- Take ownership in a pro-active coordination of the agenda (list topics, logical flow, priority, dedicated time) and on collaborating with the presenters on the content of their presentation. This requires extensive experience and thorough knowledge and collaboration within the EA Campus organization as well as thorough knowledge of the EA Campus strategy.
- Prepare the slide deck, review, and give feedback on the content of slides to the presenters.
- Support the chair in leading the meeting, take ownership in minute taking and list all actions during the meeting.
- Pro-active follow-up on the listed actions with owners and relevant collaborators. Provide an update or follow-up with team or follow-up during the next meeting as agenda item.
- Coordinate and maintain the cross departmental Teams site, align with team members on the storage and centralization of information.
- Take full ownership in coordinating meetings with internal collaborators. Align with assistants on logistics, prepare agenda based on content-based input. Organize debrief meetings and follow-up on defined actions.
- Support EA Campus team:
- Support the team with the PO creations and follow-up of POs (invoicing, GR, end date, open amount), budgets, sponsorship agreements and filing (ICD).
- Advice and instruct team members on sponsorship agreements and contracts. Check final contract before signing. Assist in signing procedure and request filing in ICD.
- Daily follow-up of Campus J&J NL mailbox. Follow-up and advise the questions to the person in charge of the topic.
- Monthly track and download of All Employee database NL employees from Workday, in order to be able to send Campus wide communications to our NL employees.
- Organization and coordination of EA Campus Team meetings/events/team days/meetings with internal and external collaborators:
- Connect with different collaborators to assemble agenda topics, solicitude presenters, organize and meetings, including agenda and meeting minutes. Support and lead action topics as defined by the leads, including creation of communication drafts, ensuring review and finalization of the communications, and distribution.
- Provide logistical support to the meetings, align with location and vendors, invitations, budget follow-up. Adhere to compliance policies.
- Draft communications on behalf of Campus Head and distribute after review.
- Campus Event management:
- Support the organization of Campus wide events (internal and external).
- Involve and advise Campus team in the organization.
- Align with CPA on communication and media attention internally and externally.
Qualifications
- Bachelor Degree or equivalent qualifications.
- Minimum of 2 years related experience.
