Job Description:

1. Function description

The Management Liaison (Executive Assistant) for the Managing Director (VP) & Country Medical Director is a proactive professional with talent for organisation and coordination, who acts as a bridge between the J&J Innovative Management Netherlands Leadership Team and the broader organisation. He/she is the go-to person for the day-to-day management of Leadership Team activities. He/she has an excellent knowledge of internal procedures and policies. As an expert, the Management Liaison proactively informs and advises the internal and external stakeholders with strong communication skills. He/she also coordinates and organizes the Managing and Medical Director agenda and NL Leadership Team meetings and activities.

2. Place in the organization

The Management Liaison to the Managing Director and the Medical Director works within the Netherlands Management Liaison Team and reports directly to the Managing Director of the Netherlands with a dotted line to the Country Medical Director for the Netherlands.

3. Profile / qualifications

  • Demonstrates high level of pro-activity, ownership, cross functional collaboration, flexibility and agility. High level of maturity and independence but also acting as team player.

  • Business management skills: organized, able to plan & prioritize. Open to ideas, addressing conflicts effectively

  • Responsibility and ability to manage confidential information discretely.

  • Solution-oriented mindset; thinking along, preparing/making analyses

  • Anticipating/proactive actions through sufficient knowledge and insight

  • Deals well with ambiguity, able to manage conflicts in an open and constructive manner.

  • Knowledge of Dutch and English, written as well as spoken.

  • Confident in impactful communication to inform, advise, coordinate and evaluate.

  • Excellent knowledge of internal procedures and policies

  • Proficiency in Microsoft 365 applications such as Outlook, SharePoint, Teams, OneDrive, etc. as well as Zoom. Experience with LinkedIn of value.

  • Knowledge of the pharmaceutical industry or broader field of healthcare preferred.

4. Tasks and responsibilities

Specific support for Managing Director:

  • Management Board related for Janssen-Cilag B.V., liaison to Mid-Sized Markets Leadership Team assistants as well as VIG (Vereniging Innovatieve Geneesmiddelen) Board.

  • Proactively following up on all contacts/meetings with key in- and external stakeholders, coordinating this with internal/external J&J Communications, Public Affairs and Government Affairs teams. May include support of professional social media platform activities (LinkedIn).

  • Managing the MD's calendar and ensuring their availability by setting appropriate priorities.

  • Serving as the first point of contact for high-level external relationships.

  • Planning travel and meetings for the MD, as well as for high-level internal visitors and stakeholders.

  • Planning Leadership Team and larger group or company activities and meetings.

  • Monitoring processes and managing internal projects within and for the NL Leadership Team or broader organization.

  • Processing expense reports.

  • Keeping organizational charts accurate at all times

  • Staying informed about the organization, promptly signaling issues/opportunities to the MD

  • Provide additional support for Internal Communications (Intranet, newsletter, Townhall, …) and BBHR (Talent review, 5 conversations, …)

  • Look for opportunities to increase efficiency to create cost/time savings.

5. People management

No direct line management responsibilities but could act as coach to new or less mature management liaisons to aid or accelerate their development.
