At our Groningen site, laboratory teams operate in a highly collaborative, regulated environment, delivering high-quality data for international studies.
About the role
At QPS Groningen, we are looking for a financially minded project administrator who enjoys bringing structure to complex workflows. In this role, you will take ownership of study budgets, financial tracking, and invoicing processes, ensuring that performed work aligns with what is billed. You will act as a key link between laboratory teams and finance, keeping data accurate, complete, and audit-ready within our systems. This position is ideal for someone with a background in financial administration or project support, who is comfortable working in a structured, regulated environment.
This is an office-based position in Groningen. We’re happy to accommodate school or family schedules, as long as hours are worked during normal business hours.
What you will do

Own financial tracking and alignment – maintain study budgets and databases, perform reconciliations, review performed vs. invoiced work, approve invoices within scope, and flag discrepancies

Work within systems and ensure data integrity – support activities in LIMS and related systems, ensuring completeness, accuracy, and traceability of study records

Act as a key coordinator – serve as a reliable link between laboratory teams and finance, ensuring smooth communication and workflow alignment

Provide flexible operational support across study teams as needed
Job requirements
What you bring

HBO, MBO or equivalent combination of education and relevant experience

Experience with financial administration, budgeting, or invoicing processes

Strong Excel skills and comfort working with database systems such as LIMS and Access

Highly organized, detail-oriented, and able to manage multiple priorities

Clear and professional communication skills with business-level proficiency in Dutch and English

Experience in a regulated environment (e.g., CRO, pharma, or laboratory setting) is preferred

Experience in a laboratory or scientific environment is a plus, helping you navigate study workflows and systems used for invoicing and change orders (helpful yet not required)
